Bring-your-own-OpenAI key (BYOK): when it matters
Many teams start with Conversa’s platform OpenAI access because it is the fastest path to value: sign up, add sources, embed, done. As usage grows, some organizations want their own API billing, tighter governance, or separation between environments. That is where bring-your-own-key (BYOK) fits.
What BYOK means in Conversa
You store an OpenAI API key at the workspace level. Processing jobs and chat completions for that workspace use your key, so usage appears in your OpenAI dashboard and invoices. Other workspaces on the platform can still use the shared key unless they also configure BYOK.
When BYOK is worth it
Finance and forecasting: You already allocate model spend per department and want Conversa inside that budget.
Compliance: Your security team requires keys to rotate on your schedule and never sit in a vendor’s shared pool.
Scale: Message volume is high enough that direct OpenAI pricing or committed use is cheaper than bundled platform usage.
Multi-brand setups: A holding company runs several workspaces and wants each brand’s AI spend isolated.
When to stay on the platform key
Early trials, small sites, and first embeds rarely need BYOK. Setup is one less secret to manage, and you can ship in minutes. We recommend proving value on the default path, then switching once you have stable traffic and a clear owner for the key.
Operational tips
Restrict who can view or update workspace keys in your internal process. Rotate keys if someone leaves the team. Monitor OpenAI usage alerts alongside Conversa conversation volume. If processing fails after a key change, re-run Process on sources once the new key is saved.
Privacy framing for your customers
If you resell Conversa to clients, BYOK can be a premium tier: “your data, your key, your OpenAI contract.” Be transparent that prompts and retrieved chunks still flow to OpenAI when using their models-BYOK controls billing and access, not the fact that inference is external.
Our recommendation
Start simple. Embed, measure answered questions and leads captured, then add BYOK when cost or policy requires it. Conversa supports both so you do not have to replatform when you outgrow the trial.
